What you'll be doing
- Supporting to GVP Kristen Tabar and VP Jay Sackett.
- Create and find opportunities to have a more agile and streamlined process/environment.
- Scheduling internal and external meetings across multiple time zones, preparing and maintaining meeting materials, and catering if necessary.
- Schedule, management, and visualization of Executive calendars, travel, conference room approvals, expense reports, meeting support & summaries, etc.
- Provide general support to visitors to the office and arrange appropriate business meeting space, meals, or amenities.
- Maintain travel requirements, for example, set up security travel arrangements for Mexico trips to and from plants
- Project plan creation and execution for Executive events - arrange venue for large meetings, arrange hotel blocks for large meetings.
- Assistance with budget management, including bill paying, budget support, and monthly budget analysis
- Report preparation to include monthly KPI's as needed
- Draft, review, and send communications on behalf of company executive(s)
- Maintain various records and document management for company executive(s)
What you bring
- Experience in administrative support, including with document management processes or systems
- Experience in MS Office (Word, Powerpoint, Excel, Outlook), and/or SharePoint
- Strong ability to maintain privacy and confidentiality (understanding risk to the company, team, and individuals)
- Strong ability to multi-task, prioritize, and manage high-volume of work, including supporting multiple individuals
- Bilingual - Japanese
- Strong attention to detail and follow-through
- Strong ability to work independently, take initiative, and proactively communicate with your team

- Experience supporting executives
- Demonstrated project management skills
- Power BI or Power Apps experience
